Amazing Season 1!


We started our podcasting for employees in April 2023 ,and since then, we’ve have had many exciting shows! Here is a quick summary of season 1 with the corresponding links:







The tool we will highlight this month is the SMART goal.


Why use this tool?

To have a proper and a clear goal; this will motivate the project team to collaborate with you throughout the project.


How to use this tool?

Step 1: Listen to VOC and VOB.

Step 2: Define the CTQ (Critical to Quality) linked to the VOC and VOB.

Step 3: Link it to an existing KPI or create a new KPI.

Step 4: Define USL (Upper Specification Limit) and LSL (Lower Specification Limit).

Step 5: Measure the current performance status of the process (where are we today?).

Step 6: Identify the gap between the current process performance and desired customer / business expectations.

Step 7: Set a SMART goal using a template to help you write the goal in a way that is:

· Specific. Describe exactly what needs to be achieved.

· Measurable. Make it measurable.

· Achievable. Ensure the goal is attainable.

· Realistic. The goal needs to be realistic.

· Timeframe. It should be attainable within a specific timeframe.

Note: You do not need 5 sentences for the SMART goal. You can summarize all the above points in one or two sentences.


When to use this tool?

SMART goals are written in the Define phase, and they should be written in the project charter template.


3 Do's and 3 Don'ts:

· Do: Get the goal approved by the project sponsor.

· Do: Verify with project team that everyone has understood the goal statement.

· Do: Link the goal statement one-to-one with the problem statement in the project charter.


· Don't: Write the goal without consulting VOC/VOB. (Avoid having management or SME´s set a goal they believe is right, as their assumptions may differ from client expectations).

· Don't: Set a goal without knowing the status-quo of process performance.

· Don't: Forget to include all components from the 5 (S.M.A.R.T.) categories in your 1-2 sentences.

Project Example: Reducing the amount of good food wasted.

Initial Problem: A logistics company was responsible for transporting food from point A to point B. 15% of that food was unsellable at point B, resulting in nearly 1 ton of food being thrown away every month.

Goal: Reduce the amount of discarded food from 1.000 kilos to 50 kilos.

Solution: We reviewed all end-to-end logistics from point A to point B and implemented the following changes:

· Analyzed the root causes of food wastage and created an action plan.

· Improved loading procedures (standards) for pallets and trucks.

· Optimized air temperature and ventilation inside the trucks.

· Modified the route to reduce the number of hours for end-to-end transport of fruits.

· Improved unloading procedures

· Adjusted supermarket standards regarding accepted and rejected items.

· Initiated a collaboration with a local NGO to collect rejected food, redirecting it to smaller local supermarkets, food-courts and to homeless shelters.


Results: The amount of discarded food was successfully reduced from 1,000 kilos to 23 kilos per month.
